It is important to clearly define the sign-up process and train your staff to insure a smooth process. Below we have outlined some recommendations.
Sign-up on your website
Plan2Play offers several widgets to make this process easy. We want to make sure that the user has a fast & smooth experience.
Sign-up by selecting a Plan for purchase
In order for these workflow to work properly, all the plans you offer should be linked to a login and register box. We offer a pricing widget you can display on your website so this can happen automatically. Once a client selects a plan they will be asked to do the following:
- Select the plan on your website for purchase
Create an account
- Once they create an account they will be sent the email below to verify their email and to download the mobile app. Email verification is not required for them to continue.
Sign your Waiver
- If you have a waiver enabled, they will be redirected to Sign your Waiver. All signed waivers are saved under the customer record. To see the waiver for a customer perform the following steps:
- Search for the customer using the top search bar and view the details
- Select the Waiver menu item on their record
Pay for their Plan
- After they sign the waiver they will be redirected to Pay for their Plan (which will be pre-selected). If you have enabled notifications you will receive a notification that a customer has purchased a plan. Click here to view how to enable notifications. To view plans any customer has purchased do the following:
- Search for the customer using the top search bar and view the details
- Select the Membership Subscriptions tab
Sign-up by creating a link to the login-pop-up
If you would like to send direct links to sign-up follow the steps below to have the correct plan added to the cart as part for the process.
- Select the upper right hamburger menu and click Settings
- Copy the login popup URL
- Add the following to the URL to direct the user to the proper plan:
- For Plans - find the planid from Manage-Pricing-Plans
- Add the following to the Login Pop-up URL copied from above &type=ARC&planid=[use planid from manage pricing]
- For Resource plans add the following to the URL to direct the user to the proper plan
- For Plans - find the planid from Manage-Pricing-Resource Plans
- Add the following to the Login Pop-up URL copied from above &type=RESOURCESCHEDULER&planid=[use resource planid from manage pricing]
Sign-up by selecting a Class/Camps/Clinics/Events
If you are offering classes/camps/clinics/Events you can embed our Schedule Widget which will allow users to signup using the following process:
- Select the class they wish to attend on your website
Create an account
- Once they create an account they will be sent the email below to verify their email and to download the mobile app. Email verification is not required for them to continue.
Sign your waiver
- If you have a waiver enabled, they will be redirected to Sign your Waiver. All signed waivers are saved under the customer record. To see the waiver for a customer perform the following steps:
- Search for the customer using the top search bar and view the details
- Select the Waiver menu item on their record
- Pay for their plan (which will be pre-selected). If you offer a free plan for new users this step will be skipped.
- After they sign the waiver they will be redirected to Pay for their Plan (which will be pre-selected). If you have enabled notifications you will receive a notification that a customer has purchased a plan. The instructor of a class will also be notified they have a new customer attending. - Search for the customer using the top search bar and view the details
- Select the Membership Subscriptions tab
- Automatically get signed up for the class they selected in the widget.
Sign-up via your Front Desk
Plan2Play offers the following options for customers who walk-in and want to pay for a membership or one-time plan
Kiosk Check-in
This is useful if you want to have a new customer quickly create an account and sign your waiver. For payment your staff will be able to find the newly created account and take payment.
Kiosk Setup
You can offer your customers the ability to check-in on a kiosk. To open the kiosk URL for your organization, do this following:
You must be logged into a staff account to open the Kiosk URL
- Select the Settings Menu item in the upper right menu
- Select the Kiosk URL
- Select Open.
Customer Signup
The process for customer signup is listed below.
- Customer searches for their name on the kiosk and if not found selects the "Register" icon.
- Customer creates the account
- Customer signs the waiver
- Staff member can now do the following:
Add New Customer to a Booking
- Selecting the Appointment menu item and click on a booking time
Add A New Customer to Class/Clinic/Camp/Event
- Search for the customer using the top search bar and view the details
- Select the Membership Subscriptions tab
- Select the "Create Subscription" Menu item - Click Here to learn more about "Creating Subscriptions"
- Add the customer to a class. Click Here to learn more about "Adding Customers to Class"
- Customer can now download the mobile app and login using the credentials they entered in Register step above. You can also send them an app invite using the instructions outlined here: How to send an invite to a member to download the Plan2Play App
QR Code
Each organization has their own unique code to use for automatically signing people up in their organization. This is usually printed and posted in the organization facility. This is useful if you want to have the customer use the mobile app to sign the waiver, purchase a membership and sign-up for classes or make reservations.
- Customer scans the QR code and is prompted to download the app from either Google Play or Apple depending on their device
- Customer creates the account. The invitation code will be pre-populated. If for some reason if is not pre-populated we recommend you list this code under your posted QR Code.
- Customer completes their profile and the sign-up process
- Customer selects the membership or product they want to purchase
- Customer enters their card information and completes check-out
- Customer signs up for a class or makes a reservation
- Customer is prompted to sign your waiver before the reservation is complete
