How to add Services

The Plan2Play platform provides the ability for your members and you staff to create bookings and manage payments for your services.  For example if you offer Personal Training or Nutrition coaching or Tennis Lessons our system is designed to make the booking process easy.


Step-By-Step

Working Hours & Durations

The booking times that will be presented as available will be dependent on the time your organization is open and the durations of time you wish to offer.  You can enter more than one duration.  For example 30 min, 1 hour or 90 minutes. 
  1. Enter your organization working hours by selecting (Upper Right) Settings->Working Hours

  1. Enter your duration(s) by Selecting Manage->Pricing->Resource Plans

  1. Enter the durations for all the services you offer.  You will associate them with the services later.

Pricing Plans

If you will be charging for your services you will need to create pricing plans.  You can associate multiple pricing plans with a service.  For example if you want to offer a 4-pack of personal training or a single session.
  1. Select Manage->Pricing->Resource Plans
  2. Select Revenue Categories and add the Revenue Category you will be associating the plan with
  3. Select Taxes and add any Tax Rates that might apply
  4. Select Add Payment Plan

  1. Now you will enter the plan details. 
    1. Enter a Name & Description
    2. Choose the location this plan will be offered.
    3. If you wish to restrict this plan from being shown to the public you can check the restrict plan box.  See additional information here: How to create a membership plan that is restricted to a group of members
    4. Check the box "Only offer to members without an existing subscription" to offer promotions or free passes to those who have not purchased before.

    1. Enter the Revenue Category this plan should be associated with
    2. Enter the Resources or Services this plan should be offered for.  This can be left blank and indicated when you create the resource or service.
    3. Choose the type of pricing model.  Standard pricing will bill the price indicated.  If you wish to charge different amounts depending on time and or number of attendees choose graduated.
    4. If you pay all your staff the same amount "Select the Pay Rate"
    5. If you pay your staff different amounts check the box "Pricing determined by Staff"
    6. If a customer can only purchase this plan "One-Time" check the box for purchase limits
    7. Choose your tax rate
    8. Choose the number of session this plan is good for, and whether this is an auto-renewing plan.
    9. If you wish to manually process payment after services are rendered choose Manual for Batch Eligible.
    10. Select your plan category and segment - Associating Plans with Segments and Types

Categories

Now we will enter the categories for the services you offer.
  1. Select Services->Services
    1. Select Category

    1. Enter the category this will fall into when members are searching for services

    1. Select "New Service"
    2. Select the Category this service should be associated to.
    3. Enter the name and any custom icon and colors
    4. Enter the service description
    5. Choose the pricing plans that can be used to pay for this subscription
    6. Indicate when this service should be made available for booking.  This is only applicable if the service is bookable by the user.  In the example below members can create bookings 4 weeks in advance and up to 30 minutes before the session will start.
    7. If you want you members to be able to book this service online.  Check the bookable by user box.

    1. Next you will choose the durations offered, the staff members and location of the service

    1. If you have any Late cancelation, no show or waivers you wish you members to sign - indicate them here.

Setup Staff Members

If you wish to allow your members to book your services online, you must enter your staff schedules.
  1. Select Services->Staff
  2. Click on a Staff member name or select "New Staff", if they are missing.  If you need to add a new staff member to the system, follow the instructions here: How to add Instructors or Staff Members

  1. This is where you can setup their working hours and exceptions.  They also will have access to block times they are not available.
  2. To enter a block time click on one of the calendar squares
  3. To enter their regular hours select "Schedule"

  1. Enter their regular hours be selecting a day and entering start and end times.  You can also copy and paste one day to another.

  2. If you have different pricing for each staff member you must enter their pay rate.  Otherwise you can skip this step.
