How to create "Guest Passes"

You may wish to allow your members to bring guests.  This article reviews the how you may apply guest passes.

Members are restricted to a number of guest passes

This is useful if you restrict the number of passes to a certain number for each member.  For example they will get 3 complimentary guest passes and then they are charged a guest fee.  In this case you will create the plan below as outlined with the price that will be charged after the passes are used up.  You will also create a coupon to use for the complimentary passes

Create the Plan

  1. Create a Guest Fee Plan.  Make sure to create the plan in the correct place - i.e. under  Plans or  Resource Plans.
  2. Enter the amount you will be charging for this plan (i.e. $20 per guest)
  3. Restrict this plan to a group called "Guests".  To learn more about how this works click here.
  4. Make this plan a one-time purchase if you will be applying it on check-in and associating it to a member account.
  5. You will also want to set the Segment to "Guest" so you can keep track of all your guests and potentially send them offers in the future.

Create the Coupon

Next we will create the coupon that can be used for the complimentary passes.
  1. Select  Manage->Pricing
  2. Select Coupons from the top menu - To view more on creating coupons click here

  3. Enter details as shown below making changes as necessary for your needs.  In this example we use different coupons each month for reporting.

Applying the Pass and associating the Guest

This step is important to apply the passes to the correct member and also to keep track of potential referrals.  When the member and/or guest arrives do the following:
  1. If applicable have the guest register on the Kiosk and sign your waiver
  2. Once the guest has completed registration find the guest in the system and edit their member record
    1. Under the Source Field choose Member Referral
    2. Under the Member Referral field choose the Member Name who this guest is associated to.

  3. Next Create a Membership subscription on the Guest Account

  4. Select the "Guest Pass" plan you have created and apply the coupon. 
    1. Make sure the total is $0.00
    2. Select Offline Payment as the Payment Option

Members are allowed to bring an unlimited number of Guests

If your members are able to bring an unlimited number of guests, you will follow the same process as outlined above for creating a limited amount of passes except you will make the prices of the plan $0 and you will not need to use a coupon code.  All other steps will be the same.
